Introducing Scenarios: Set It Up Once, Send It In Seconds
Posted by Tim Smith in Mass Notification System on October 30, 2026
When something happens, the hardest part shouldn’t be figuring out what to say. A snow day, a power outage, a last-minute shift opening or a canceled practice all need a message out fast. Too often that means writing it from scratch, picking the right groups and checking every channel while the clock runs.
Today we’re launching Scenarios in DialMyCalls, a new way to send mass notifications without starting from scratch. A Scenario is a saved, ready-to-send plan for the messages you send again and again.
What Is a Scenario?
A Scenario keeps everything about a send together in one place:
- Your messages for text, phone call and email
- Your channels, so the same alert can go out by text, call and email at once
- Your recipients, saved ahead of time or chosen when you send
- Dynamic fields for the details that change each time, like a location, a date and time, or a severity level
Write the message once with dynamic fields where the details go. When it’s time to send, you fill in those fields and they appear in every channel automatically. No copying and pasting, no retyping the same alert in three places.
Start With One of 15 Ready-Made Scenarios
You don’t have to start from a blank page. Scenarios come with 15 ready-made starters you can use as they are or edit to fit your organization:
| For | Ready-made Scenarios |
|---|---|
| Emergencies | Severe Weather Alert, Emergency Lockdown, Evacuation Notice |
| Schools and sports | School Closure, Sports Event Update |
| Teams and employees | Shift Coverage Request, Employee Alert |
| Churches and nonprofits | Worship Reminder, Volunteer Opportunity, Event Reminder |
| Businesses and services | Service Outage, Appointment Reminder, Payment Reminder |
| Local government | Civic Notice |
| Medical offices | Healthcare Notice |
Each starter comes with its message already written and its dynamic fields already set up. School Closure, for example, asks for the school or campus, the closure date, the reason and any extra details. Prefer your own wording? Start from scratch instead.
Set Up Your First Scenario
Creating a Scenario takes a few minutes:
- Setup: Name your Scenario, or leave the name blank and we’ll name it for you based on your messages.
- Channels: Choose text, phone call, email or all three.
- Recipients: Save the contact groups it usually goes to. You can still change them when you send.
- Messages: Write your message and add dynamic fields for the parts that change. Check “Same as the text message” to reuse it for the call and the email.
- Review: Check every channel, then save. Your Scenario is ready whenever you need it.
Send It In Seconds
When the moment comes, open Scenarios from the Broadcasts menu, or click Run Scenario on your dashboard. Pick your Scenario, fill in the dynamic fields, and watch them appear in your text, call and email as you type. You’ll see a cost estimate before anything goes out. Confirm, and send.
Want to see exactly what your contacts will get? Switch to Test mode to send the Scenario to your own phone and email first.
Your Alerts, Ready Before You Need Them
Save Closures, Weather Alerts and Reminders Once, Then Send by Text, Call and Email in Seconds
Built for the Messages You Send Most
- Schools can have closures, lockdowns and game-day changes ready before the first snowflake.
- Churches can send the weekly service reminder without retyping it every Sunday.
- Property managers can let residents know about a water or power outage and when service will be restored.
- Businesses can fill an open shift or announce an office closure before the workday starts.
- Emergency teams and local governments can share urgent alerts and public notices on every channel.
Included With Your Plan
Scenarios are included with every DialMyCalls credit and monthly plan. You can build, test and send Scenarios, use all 15 ready-made starters and add dynamic fields at no extra cost.
Working as a team? DialMyCalls Pro ($15 per month) adds controls for organizations where more than one person sends:
- Approval before sending: require a reviewer to approve a Scenario before it goes out
- Permission groups: choose which groups of users can send each Scenario
- API access: trigger Scenarios from your own systems
- Longer send history: 180 days of detailed send history, compared with 7 days on other plans
Want Scenario emails to come from your own domain with your own subject line? That’s available with our Advanced Emailing add-on.
Already Using Saved Messages?
Think of Scenarios as the next step. A saved message keeps your wording. A Scenario saves the whole send: the message for each channel, the recipients and the details that change. Same habit, less typing, and your message reaches people by text, call and email instead of just one channel.

“I am a youth minister and have spent hours in the past calling students individually to remind them of an upcoming event or to get out an urgent announcement. With DialMyCalls.com, I cut that time down to about 1 minute. I also love how I can see exactly who answered live and how long they listened so I know if they heard the whole message. DialMyCalls.com is the best website I have stumbled upon all year! Thanks!”
